Best HIPAA compliant AI note takers

6 tools compared. Checked 6 Nov 2026.

An AI note taker records the whole conversation, so its BAA matters more than most. In this group, BAAs mostly sit on the top plans.

Where to start

Start with Fathom, the only one here whose pricing lists a standard BAA below Enterprise, and confirm your plan with Fathom. The others here that offer a BAA limit it to Enterprise-level plans.

All 6 tools side by side

Fathom

On some plans

Fathom’s Terms (March 2026) incorporate its BAA (updated September 2026) when HIPAA applies, with no plan limit stated. Pricing lists a standard BAA on Team and Business, and custom BAA eligibility on Enterprise.

Covered: Team (standard BAA); Business (inherits Team features); Enterprise (custom BAA eligibility).

Fireflies.ai

On some plans

Fireflies offers HIPAA on Enterprise plans on request and requires both a signed BAA and Private Storage for it to be active.

Covered: Enterprise with Private Storage enabled and signed BAA.

G

Granola

On some plans

Granola offers a BAA and HIPAA support only on its Enterprise plan and says they are not available on Free or Business.

Covered: Enterprise.

O

Otter.ai

On some plans

Otter says it becomes a business associate only after a signed BAA arranged through an account executive, and its pricing page lists HIPAA compliance only as an Enterprise add-on.

Covered: Enterprise with HIPAA add-on.

Left out: Public and link-based transcript sharing is not appropriate with PHI and must be disabled.

R

Read.ai

On some plans

Read says it can offer a BAA only to users on an annual Enterprise+ plan, after SAML and domain capture are set up.

Covered: Enterprise+ (annual).

Plaud

Not clear

Plaud says a BAA is available for healthcare organizations on request through [email protected], but no vendor page we read states which plans qualify or what it covers.

Left out: Plaud does not automatically redact patient-identifiable information spoken in recordings.

Before you choose

  • Confirm the BAA covers your exact plan and every feature you’ll use.
  • Get the BAA signed before any patient data goes in.
  • Turn on the settings the vendor requires, and train your staff on them.

This isn’t legal advice. A BAA is one requirement. Your clinic still has to set the tool up correctly and control who has access. Vendors change their terms, so confirm before you sign. PHI means protected health information, which includes patient data.
